Financial Systems Support Coordinator- Information Technology Department

Job Summary

Under the supervision of the Director of Technology, and in coordination with the fiscal services department, the Financial Systems Support Coordinator is responsible for overseeing and optimizing the operations and procedures related to the financial systems which serves the business, human relations, payroll, and related functions of the Humboldt County Office of Education and participating school districts in Humboldt County.  This position oversees and coordinates financial system implementation, management, maintenance, upgrading, technical support, training, documentation, and troubleshooting, with a strong emphasis on interdepartmental coordination.

Distinguishing Characteristics

The Financial Systems Support Coordinator is an advanced-level position within the Information Technology Department, requiring a thorough understanding of financial systems and procedures, and related technologies. This position demands the ability to work independently with minimal direction or oversight.

Essential Duties

  • Assumes lead responsibility for managing and maintaining financial system software and implementing new features.
  • Coordinates with various departments to ensure seamless integration and operation of financial systems.
  • Lead projects from conception through implementation, ensuring all stakeholders are aligned and informed.
  • Oversee system maintenance tasks, including creating accounts and the workflows, applying appropriate account security, archiving files, and backing up systems.
  • Provides advanced technical support and training to financial system users, ensuring they are well-equipped to utilize the system effectively.
  • Documents financial system procedures Comprehensively to ensure clarity and consistency.
  • Lead efforts in troubleshooting financial system problems, working closely with vendors and internal teams to resolve issues promptly.
  • Oversee support for fiscal year setup and rollover, ensuring all processes are completed accurately and on time.
  • Coordinate and lead user training sessions both in person and virtually.
  • Oversee a variety of computer operations involved in processing, generating, and printing checks, reports, documents, and other materials and equipment.
  • Ensure timely and accurate printing of payroll and accounts payable checks, as well as the electronic fund transfers to the bank, and resolve any discrepancies.
  • Provide additional support, where needed, to ensure minimal disruption to operations.
  • Works closely with the Financial Systems Support Specialist.

Employment Standards:

Knowledge of:

  • Public school business and related information technology operations and practices;
  • Proficiency in complex computerized information systems and application;
  • Advanced math, reading technical information, composing a variety of documents, and/or facilitating a group discussion and/or training.
  • Analyzing situations to define issues, draw conclusions, and propose solutions.
  • Principals of accounting and auditing.
  • General applicable governmental codes.
  • Standard office practices, methods and procedures
  • Data analysis and/or budget analysis.
  • Proficiency in electronic spreadsheets, pivot tables, and related software.

Ability to:

  • Solve complex problems.
  • Analyze, assess and update operational procedures.
  • Communicate effectively with unbiased tact and courtesy, both orally and in writing.
  • Present complex technical information effectively.
  • Read and comprehend technical material.

Education and Experience

Minimum Qualifications

  • Bachelor’s degree in computer science or a related field and
  • Four (4) years related experience with increasing responsibility working with financial systems.

OR

  • Eight (8) years related experience with increasing responsibility in operating and troubleshooting financial systems, with four (4) years of experience working in a school district or county office of education financial system.

Working Conditions

With or without accommodation, this position includes prolonged periods of standing or sitting, frequent walking, and occasional bending, stooping, and reaching. The employee must be able to lift, push, and pull objects up to 30 pounds. Visual and auditory abilities, along with finger dexterity for computer work, are required to perform essential job functions.

Other Requirements

  • Must be fingerprinted and a satisfactory Department of Justice records check must be received by HCOE prior to employment.
  • TB testing and/or risk assessment will be required upon employment.
  • Other requirements as appropriate for the job responsibilities.

Special Requirements

This position may require travel to/from a primary worksite to select field locations. Therefore, a valid California Driver’s License would be required.
